2019-20 Season Registrar Update





2019-2020 MYSA Registration Policies

To all Registrars-

Registration options for Fall 19/20 are now open, each member org has been given the same settings that you had for this last season.  Should your organization use 3rd party registration software, you will need to check with your provider as to how to integrate your registrations to the new season in the Affinity platform, if possible.

Any player that is NOT put into the Affinity system will NOT BE RECOGNIZED as properly registered until and unless they are in Affinity.  Improper registrations hold NO member benefits, including insurance coverage. Should a club NOT push the player registrations into Affinity the club assumes all liability for that player.  

Only NEW Players will have to register for an Affinity account, all other players will use their existing username/password to sign up for this coming season’s registration.  All data that is in the player’s current profile, i.e. Birth Certificate, photo, personal contact information WILL NOT CHANGE and will remain in their profile and follow them into the new season’s registration.  There will be no need for any current player to re-upload a BC or photo.

Any player identified as needing to go to the US SOCCER ITC clearance link and receive a waiver and has NOT completed that process by the start of the new season will NOT be allowed to register for the new season with ANY competitive club/team.  Those players are flagged in the system. The turn-around process is very quick with US SOCCER there is no reason for them to have not accomplished this if they’ve been previously informed during this current season that they need to do this. There are NO exceptions to this.

Please do not clear off any of your rosters in Affinity.  The software operates in “Seasons” and the new naming convention is for the Fall season is 2019-2020 (this past season wrapping up 2018-2019) the registrations that are currently active will not be affected going into the 2019-2020 Season.  
Your players will not be tied to the old season when trying to register for the new seasons.  NO players need to be released (like they did in Got Soccer) to get moved into a different club for the new season, thus there is no reason at all to clear out the rosters from your current season.  You can simply leave them alone for registration history data if you’d like and they will just remain in the 2018-2019 season, unaffected by any new registration that happens for the 2019-2020 season.

MYSA strongly urges your clubs to update and refresh your ELA’s (Electronic Language Agreement) if you’ve had any changes as every parent that registers for your club will have to sign off electronically to that agreement.  IF your club is going to register players outside of the Affinity software then you must have a fully executed document that incorporates all the MYSA ELA for every member.

At no time is any player to be AUTO ENROLLED into any season.  Every player/parent is free to sign up with any club/team of their choice at the beginning of any given season. Players cannot be prevented from registering with any club of their choice for the following season within MYSA

As registrars for clubs, you need to decide/recognize what season program your teams need to go into.  COMP/REC SCHOOL YR/REC BIRTH YR is your choices. Do NOT put COMP teams in any of the REC seasons as you will NOT be able to produce a card out of this season.  COMP season is the only season that will produce cards. If a team wants to register in one of the REC seasons and then wants to play in a COMP tournament you will have to re-register them into the COMP season.  Your club will be charged for both types of registrations. All rosters for this upcoming year will state on the roster “This roster is valid for REC PLAY only” or “This roster is valid for COMP play only”, teams will not be able to register as REC and then play in any COMP setting with a REC roster.

Changes for Coaches/Administrators for this upcoming seasonal year are being sent out to all coaches in the system.  All information will be posted on the MYSA website with clear instructions on what is necessary to coach with any MYSA affiliated club on or around the first of July.

THERE WILL BE NO EXCEPTIONS to any of the coaching requirements. Starting Aug 1st any coach that has not completed any of the requirements will NOT be allowed to coach in any capacity.   The Affinity software parameters have been set so that coaches that do not meet the requirements will NOT be able to be listed on any team, no cards will print for said coaches. We strongly urge you to be in communication with your coaches about these changes in addition to what the MYSA office is sending out.

To be a coach you must have the following items completed;


Key dates to keep in mind:

  • Now – Can start making your division and set up your programs for 19/20
  • 6/10/19 – Applications can start filtering into Affinity
  • 8/1/19 – Can activate and print rosters/cards

 

Lastly, each association shall be required to annually update their information, this update must be done to activate your account each seasonal year. During this time, you will also be presented with the updated policies for the seasonal year, you should review all documents as they pertain to your organization.
