Meeting Minutes - POLL - February 4, 2018

PRESIDENT’S REPORT (Soltis):

·       Two kids (Tanner & Brady Kephart) from MV seeking waiver to come to POLL this year to play. One is 12 one is 9.  12-year old is reportedly “not interested in playing all stars” (& will by rule be ineligible for District play).  9-year old looking for opportunity to play deeper into summer.  Could potentially play on B Team, but won’t be eligible for any District Team.  POLL would not be taking over MV district (i.e. all kids).  Frank is OK with the change, but POLL needs to approve.  This would be a 1 year waiver.

o   General discussion about +/-……..No significant issues noted.  MV League needs to approve release this week.  Paperwork needs to be in before the draft on 2/11.

o   Motion to approve: JW,  2nd GW…………approve = all……disapprove = none.

·       Hitz & Runs $25/hr = 1cage.  $35/hour = 1cage & pitching area.  $75/hour = entire building.

·       YMCA = $25/cage/hr…….member rate is $20/cage/hr

·       Anyone want to be president?...........no one nominated

SECRETARY’S REPORT (Gustkey)

·       Review / Approval of January Mtg. Mins……………..Motion to approve: GW, 2nd JD…..all approve.

·       Plan to review a portion of the POLL By-Laws at each future meeting to facilitate updating.  AG to get with JS to ensure has most up-to-date version of the by-laws to work from.

TREASURER’S REPORT (Harpster)

·       Acct. 1 @ $32,909.03 (CNB)

·       Acct. 2 @ $5,417.03 (CNB)

·       Cash @ $200.00

·       Additionally……~$5,500 (cash and checks from registration needing deposited) & $400 in calendar $ & $150 on line late registrations.  Looking to make one deposit for “registration”.

·       No outstanding bills.

·       Registration is paid……..9 Maj. League, 6 Min. League, 3 SRLL Teams

VP LL REPORT (White)

·       Discuss / Vote…..Reimbursement for batting cage usage

o   Motion: JJ $120/ Maj. League team.  Coach must present Board with receipts to be reimbursed by POLL.  2nd MM……..all approved.

·       2018 Rule Books for disbursed.

·       Enrollment numbers for all divisions.

o   Majors 109 + 2 (Kepharts from MV) = 111

§  AT 9 Teams 6 at 12, 3 @ 13

o   Minor 82……registration remains open until March 10th….can be extended.  Only issue is getting uniforms and team placement.

o   SRLL 26…..registration remains open “indefinitely”

·       LL Tryouts

o   Next Sunday 5-6:30pm at YMCA batting cages.  Draft to follow immediately after.

·       Draft/Draft Order

·       Motion: AG…rescind annual redraft plan tabled for vote in 2017.  2nd GW….all approved.

·       Franklin to Blz as HC will take son (Alex) with him.  Vaux / Steve P. will need to be compensated in some manner, typically with transfer of “equal caliber” player from Blz to Vx.  Player would have to approve trade.  FN and SP to discuss.

·       Talon Thompson asked to be released from CNB, which Larry has done.

·       Per POLL By-Laws:

The draft method for all divisions shall be determined by the prior league standings.  The last team to draft in each round is the team that won the previous years championship based on overall record.  The first team to draft in each round is the team that finished last in the previous years standings.  The remaining draft order shall be determined by the standings from the current year.  Example:  The next to last team from the previous year will draft second and so on.  In the event of a tie between the 2nd to last place teams a flip of a coin will determine the draft order. 

Any head coach having a current player that has a family member entering the draft, (brother, sister, son or daughter) shall be required to take that player entering the draft in the next to last round of their draft.

No head coach shall be allowed to pick an assistant coach in an attempt to obtain their child automatically in the draft.  Exception:  In the event an assistant coach is a member of a team for at least two years prior to their child coming into the draft then that head coach shall be required to take that player entering the draft in the next to last round of their draft.

In the event there are two siblings entering the draft at the same time then the head coach selecting the player involved shall be required to select the sibling in the very next round of the draft.

 

 

VP SRLL REPORT (Whitehead) –

·       Need to improve quality of play / competition in SRLL, particularly for our 15-16 year olds, who we have been losing in recent years.  JH Baseball runs to last week of May, V & JV potentially longer and cannot participate in SRLL until season is finished.  SRLL then only has a week / 2 to prepare to play a schedule.  In 2017 some teams played < 10 games (VFW 6), and many games involved pulling players from other teams to be able to field teams.

·       Request that the League consider a restructuring of the League.  In general:

o   13-14 League “as normal”.  15s-16s who want to play in this League or that do not make the tryout for the 15-16 “Jr. Legion” / “Travel” team will also qualify (but cannot play in the 13-14 District Play).

o   15-16 (no 14s)…..tryouts to fill the team.  travel / play other teams, tournaments, etc.  Similar to what Clearfield does with the “Jim’s Sportcenter Team”.

o   All in attendance agreed that change is necessary and were willing to give the above a try in 2018.  GW reported that expenditures will be similar to SRLL……balls/equipment, uniforms, entry fees.

VP ML REPORT (Guenot) –

·       7/8 – Games / More traditional play to prepare for post season & move to LL

FIELD MANAGER(S) REPORT (Stover) –

PLAYERS AGENT REPORT (Lamb) –

·       Player #s / League…..23 draftable players

·       “Thank you” to RM for his help with on line registration, etc.

COACHES AGENT REPORT (DeSimone) –

·       Equipment……..Vaux & Navasky’s need new Catcher’s Equipment

PURCHASING AGENT REPORT (Massung) –

o   Motion:  JS….Spend up to $2800 for a portable Mound for OM…..2nd JJ………all approved.

·       Catchers gear………will get quotes for ML and LL

o   3 LL Teams needing new C-gear.  CNB has 2nd (adult size) set if anyone has large player that won’t fit into std. youth size.

·       Batting Cage Netting……

o   Motion: AG…..Spend up to $1000 (CH) for replacement …..2nd…JJ….all approved.

·       Discussions with Dick’s Sporting Goods on Sponsorship

o   RM to pursue agreement with Dick’s.  Suggestion that changes to uniform supplier (i.e. Jim’s to Dick’s) proceed with caution (esp. hats) as sizing / examples used at signups could be different & cause issues in 2018.  Rob to ask unis be quoted by Dick’s

SAFETY OFFICER REPORT (Minarchick) –

·       CPR/First Aid Training scheduled at Drayer for Tue, Mar 13th from 5:45 – 7:30 PM. A sandwich platter and refreshments will be provided and the number of attendees is capped at 16.

o   Those certified / trained in 2016 or earlier now must be retrained/recertified

o   Those certified / trained in 2017 still ok.

o   40 returning volunteers back in the system for safety checks

o   4-4-2017 quote on AEDs…..$2,649 (1 @ ML/SRLL, 1 @ OM, 1 @ CH).  MM will secure updated quote.  Can the Borough help?  Can youth softball help?

CONCESSION REPORT (Couturiaux) –

·       Keeping fried food or not? Need time to find a fryer if we are going to stick with it...

o   General consensus that we should not do away with fried food.  Charge more if necessary to support purchase of newer / better equipment.

·       Purchase of a new table or counters for in stand at CH…

·       How long do we plan on the concession being in the same building?

o   Work would have to be done in the fall immediately after the season

o   Can prefab buildings placed on skid / pad be considered?

·       Pottie Time LLC wants to service all our fields where we use potties…Had 1@OM & 1@ML, but noticed other potties there.  NT to contact DH about contacting PT LLC.

§  Only 200 Tickets Will Be Sold.  

§  We will be distributing tickets to all players and coaches to sell for the first Mountaineer Cash Bash soon.  

§  We will be giving away Approx. $1,700 in 3 hours.  

§  The tickets will be $20 per person.  Food and Beverages will be included in the ticket cost.  The event will include a 50/50 and more.

§  All tickets must be sold to make this event a success.

OLD –

·       Locks…..still need to look into changing these out.

·       Redraft?.....nothing to do here until registration is complete.  (NOTE:  This will need to be decided at the Feb. 4th meeting with registration then closed and tryouts/draft set for Feb. 11th.)

·       Field / Equipment Upgrades?

o   OM dugout…….JJ suggested possible add-on / new arrangement involving open air benches extending down the lines from current dugouts and the entire area fenced in.  Add lockable doors to dugouts to address historical vandalism issues.

·       Scott Kephart IS going to be servicing tractors, etc. in 2018

·       JJ to look into approaching OM Borough about bleachers…….new/repair.
