Meeting Minutes - POLL - March 11, 2018

PRESIDENT’S REPORT (Soltis):

·      Absent…..No Report.

SECRETARY’S REPORT (Gustkey)– 

·      Review / Approval of February Mtg. Mins……….JJ Motion, GW 2nd…..passed.

·      POLL By-Law Review / Discussion.

o  Sections 3, 4 & 5 of the POLL Local Rules reviewed / discussed.  Minor amendments / clarifications will be made per the discussion and presented at the next meeting for final approval.  Key Changes:

§ #3….Clarification regarding All Star voting process (No team can have more than 2 votes (i.e. HC and AC or HC and Board Member…..No person > 1 vote).

§ #3….Any Coach (not just HC’s) can ask to be considered / voted upon for consideration of coaching an All Star team (Dist. Teams included).

§ #5…..Clarification of League Divisions and age groups (i.e. 5-6, 7-8 (which can include players up to age 11), and 9-12).

1.    Bank check signatures.  We already require two signatures for bank accounts.  Vote on authorized signers for current year still maintaining a 2-person signature requirement.

·      AG..Motion to approve the 6 signers listed above…….2ndJJ…….Passed.

·      Porta Potties for 2018 – Same cost as last year (~$85/mo/each).  Pottie Time is Vendor we have used for past 2-3 years.

VP LL REPORT (White)

·      Beginning to work on Majors Division schedule.  Using listing of school events provided by RM to try to work around field trips, etc.  If anyone knows of any conflicts / events please let JJ know.

VP SRLL REPORT (Whitehead) – 

·      Brandon Myers and Jeremy Beals have agreed to coach Jr. Legion.  Only 10 eligible PO players (need 15) have stated their intent to play, which is not enough.  Season would run last week of May into middle July.  Do we let 14 year olds in?  Do we let 15-16 year olds kids from the “Legion Area” (i.e. West Branch, MV, etc.) in with same fees?

o  Motion by JJ………Open enrollment to the Jr. Legion Team to 15-16 year olds from inside the traditional “Area Legion Boundary” with payment of League enrollment fee ($ TBD). (NOTE: PO players that do not make the team can choose to play in the PO SRLL League.  Players from outside PO boundary would have to play on their own home League.)…….Motion JJ…..2ndJD…….passed.

o  NOTE: Separate Insurance Policy will need to be purchased to cover this team.

·      SRLL….primarily a “13-14 League”, but will also include any 15-16s that want to play. League is looking like 2 teams (1 coached by Kevin Hahn, 1 coached by Larry Kolbe Sr).

VP ML REPORT (Guenot) – 

·      POAD has asked to use the Slabtown field on the following dates (4-615pm) to be able to play JV softball games.  POSD will take care of all of the field maintenance on these dates.

o  No one took issue with the request.  JD will mark the 4/11 date on the LL practice schedule to hold open for POSB.  TG will address the other dates with the ML schedule.

FIELD MANAGER(S) REPORT (Stover) – 

·      No issues / plans to report.

·      Field day tentatively planned for 4/24 (Sat) beginning at 9am.

 

PLAYERS AGENT REPORT (Lamb) – 

·      Absent……No Report.

COACHES AGENT REPORT (DeSimone) – 

·      Draft practice schedule floated to HCs today beginning 3/18.  Time slots run Sun-Sat.  Teams using the fields will have to work to get the fields prepared for practice as well as work to repair them when done (as like postgame expectation…..drag/rake/etc.).

PURCHASING AGENT REPORT (Massung) – 

·      CH Cage net still pending.  All other equipment + baseballs received / delivered.

·      Will likely use Wilson baseballs this year instead of Rawlings.  AD Star is cheapest so far.  True Value cannot get them.  Jim’s SS is expensive.  Start with 2 dozen game balls/team.

·      Motion by JJ……approve new steal drag for ML up to $300……2ndGW…..passed.

SAFETY OFFICER REPORT (Minarchick) – 

·      Updated invoice for 3 AED’s ($2920.00)

o   Ambulance coverage is close by.  Concerns regarding how/where to store of the devices. Decision to purchase tabled, but unlikely to move fwd. (at least for all 3 fields).

·      CPR/First Aid on 3/13/18 from 5:45-7:30

·      52 Major League Coach Clearances completed.  A few left to do.  MM will be in touch with those still needing to submit paperwork.

CONCESSION REPORT (Couturiaux) –

·      Waiting on a reply about the electrical hook up and if it’s a go would like to purchase 2 new fryers (1 for C.H., 1 for OM). The cost is $265 each. K. Hahn has advised the current electrical service should work.  If not, he should be able to make the changes easily.

o   DH Motion……approve spend up to $550…....2ndGW…..passed.

·      Plan to measure fries & raise prices this season ($1.50 up to $2)

·      Field Day……. C.H. needs a new faucet (longer) installed. Purchase at Ace?

·      Are we going to enforce volunteer help with talked about eligibility for post season ball? Suggestion that enforcement falls back on the HC.

·      Grill operators for opening day? 

 

MISC/OTHER –

·      For Discussion / Vote:

o  Pay umpires once a week during the regular season (paid Sunday for work completed the following Sun-Sat).  Tournament play can be handled on the day of work.  POLL presently pays umpires $35 behind the plate, $25 bases, $15 announcer ($75/game).

§ No formal vote taken, but all were in agreement that this should be workable.  JJW will discuss with R.Soltis, who schedules umpires for the League.

o  Team photographers……Teams can choose who they use.  Photographers to provide 2 the team HC 2 pictures (5x7) at no charge to the Team. One photo will be for League archives and one the League will mail to sponsor of the team.

§ No formal vote taken, but all were in agreement that this is a good idea.

·      The Board needs to discuss/ clarify Post Season Tournament Play…. How many tournaments POLL will pay for when we host a tournament and our team(s) participate. Left open for discussion at the next meeting.

·      Children are NOT allowed to sell 50/50 tickets…….Sellers MUST BE 18 or older.

o  Adult from home team responsible for doing the 50/50.

·      GW plans to get a load of mulch for SRLL batting cages, which are presently under water.

OLD –

·      Locks…..still need to look into changing these out.

·      Field / Equipment Upgrades?

o  OM dugout…….JJ suggested possible add-on / new arrangement involving open air benches extending down the lines from current dugouts and the entire area fenced in. Add lockable doors to dugouts to address historical vandalism issues.

·      Scott Kephart IS going to be servicing tractors, etc. in 2018

·      JJ to look into approaching OM Borough about bleachers…….new/repair.
