Constitution and By-laws
Weston Sports Association, Inc.
Article I
Name: Weston Sports Association, Inc.
From this day forward this organization will be known as the WESTON SPORTS
ASSOCIATION, INC., in Weston, County of Platte, of the state of Missouri. These
By-laws supersede any other By-laws previously written. The Weston Sports
Association, Inc. is dedicated to the support and development of our youth by
improving our association through effective systems and leadership ensuring
meaningful fair play and enjoyable experiences in a safe sportsmanlike environment.
We recognize that the association belongs to the community and we are committed to a
strong system of two-way communication with our members and the community. This
is best accomplished, by offering opportunities and by setting standards, procedures and
policies.
Article II
Object:
1. We will strengthen the well being and future of the Weston Sports Association
Inc. through the progressive development of standards, procedures and policies.
We will provide a supportive, value based and nurturing environment for all our
members in their pursuit of the associations’ common goals.
2. Promote organized youth oriented sports programs in the community.
3. To encourage and aid development of the youth community.
4. To install a respect for rules and development of good sportsmanship, honesty
and integrity.

Article III
Membership:
A member of Weston Sports Association Inc. shall be construed as one of the
following:
A. Each family of a registered player
B. A guardian of a registered player
C. The manager of a team
D. Any coach of a team
E. All elected or appointed officials or representatives of the association
All members are entitled to one (1) vote per member in matters approved by the Board
in open meetings.
Article IV
Board:
1. A Board of Directors, which shall consist of six (6) members, shall administer the
Weston Sports Association, Inc.: President, Vice- Presidents (2), Secretary and
Treasurer
2. Weston Sports Association will also consist of one (1) League Representative
and unlimited amount of Members at Large.
3. Any officer of this Association shall be permitted to and act as a manager and/or
coach of Association teams while holding office.
4. Roberts Rule of Order shall govern association meetings.
5. The Board of Directors shall have control and management of Association
activities, determine all policies, procedures and supervise the affairs of this
Associations membership.
6. The Board will hold regular meetings on the second Sunday of the month
January-May and August-November. One meeting may be canceled completely
at the Presidents discretion without being made up. Any other meeting
cancellations must be made up.
7. Special Meeting of the Board shall be called upon the request of the President,
the Chair or one-third of the board and notified by the secretary.

Article V

Election of Board:
1. Association officer shall be elected for a period of two (2) years and are
eligible for re-election.
2. Election process: Odd-numbered years the following persons will be up for
election, President, Vice President #2, and Secretary and. Even numbered
years the following persons will be up for election, Vice-President #1
Treasure and League Representative.
3. This election process shall be effective for the year of 2011.
4. Elections shall be held at the regularly scheduled meeting for August. At
Normal and place of meetings. Nominations will be allowed from the floor
at this election meeting.
5. Association officers will assume office duties as of their election.
6. If a vacancy of office occurs before an election meeting, the President shall
fill the vacancy by appointment subject to board approval.
Article VI
Officer Duties:
1. PRESIDENT: He/she shall serve as the executive officer of the Association;
preside at all board meetings (regular and special). He/she shall supervise over
affairs of the association and approve payment of all of the Association bills.
He/she shall make all personnel appointments necessary to maintain the
Association objectives. He/she shall represent the Association in all matters with
the public and other organizations.
2. VICE-PRESIDENT: In the absence of the President. He/she shall perform the
President’s duties.
a. 1 St Vice-President: Shall perform the President’s duties in absence of the
president.
b. 2 nd Vice-President: Shall perform the President’s duties in the absence of the
President and the 1 st Vice-President.
3. SECRETARY: The Secretary shall record the minutes of all league membership
and Board meetings. He/she shall be responsible for the keeping of all league

records with exception of the financial records. He/she shall conduct such
correspondences as may be requested.
4. TEASURER: The Treasurer shall receive and deposit all money belonging to the
Association. He/she shall keep an accurate and true account of all money
received and paid out, with financial statements presented at all regular Board
meetings. He/she shall be authorized to pay bills not in excess of $100.00. The
President and the Board of Directors shall first approve any expenditure in excess
of $100.00 He/she shall perform such other duties as are ordinarily incumbent
upon the office of Treasure. He/she shall make a report at each Board meeting.
He/she shall chair the finance committee, assist in the preparation of the budget,
and help develop fundraising plans, and make financial information available to
the Board members and the public.
5. RESIGNATION, TERMINATION, and ABSENCES: Resignation from the
Board must be in writing and received by the secretary. A Board member shall
be dropped for excess unexcused absences from the Board if he/she has three (3)
unexcused absences from the regularly scheduled Board meetings in a year. A
A board member may be removed for any other reason by a two-thirds (2/3) vote of
the remaining directors.
ARTICLE VII
League representative: The term shall be for two (2) years. He/she shall be
elected by the members and is subject to Board approval. He/she is to report the results
of his/her meeting promptly to the President. He/she shall be charged with maintaining
all player contracts and insurance in the form and manner prescribed by Mid-Continent
Sports Association. He/she shall receive answers from Mid-Continent meetings back
by the President to serve in the absence of the regular League Representative.
A. The League Representative shall be required to vacate his/her position if
he/she misses three (3) scheduled meetings in a year without a valid reason or
otherwise fails to perform the duties of his/her position as outlined in the by-
laws.
ARCTICLE VIII
Committees:
The Board may create committees as needed, such as:

1. Rules
2. Scheduling
3. Fund Raising
4. Grounds
5. Executive Committee (all Board members)
6. Concession Stand
7. Umpires
8. Other committees as deemed necessary by the President
The President at a regular Board meeting shall appoint all the above committees.
ARCTICLE IX
Equipment and uniforms
1. WSA will provide a shirt and a hat/visor for all WSA registered players and
coaches. All uniforms must be worn that is provided by the WSA. There is to be
no changes without the board approvals. If changes are approved, there will be no
additional cost to the parents.
2. All equipment (2 set of catcher gear, bags for gear practices balls, mitts for boys,
face mask for the girls) is to be signed out at the coaches meeting. All equipment
must be turned in no later than Saturday following the tournament.
3. WSA will not provide bats, gloves, batting helmets, chin straps, or any other
equipment accessories.
ARCTICLE X
Managers and Coaches:
1. The Board according to their rules and regulations will select managers. They
shall be responsible for their coaches and players both on and off the playing
field as pertained to the Weston Sports Association Inc.
2. Managers shall possess the knowledge of and be capable of instructing youth
in the basic fundamental of sports, sportsmanship and clean wholesome play.
3. The manager with Board approval may select coaches. They will have the
responsibility for their teams’ participation in league programs.
4. Manager and coaches must attend a mandatory meeting prior to the start of the
season held by the Board of the Weston Sports Association Inc.

5. Managers or coaches that have complaints filed against them must come
before the Board and may be put on probation and any additional complaints
filed may end in termination of the manager or coach. Complaints must be in
written form and kept on file with the Weston Sports Association.
ARTICLE XI
Players:
Acquisition of players and age division to play in shall be governed by the rules
adopted by the Weston Sports Association. Team manager will acquire an
application/permission form prescribed by this Association form each player prior to
his/her being allowed to play or practice. All players must abide by the rules set forth by
the Weston Sports Association and the managers/coaches. Any changes to the uniform
is at the coaches cost (shirt, hat, etc.), not the parents.
ARTICLE XII
Salaries:
No officer or director shall receive any salary or compensation for performing
regular duties for the Weston Sports Association Inc.
ARTICLE XIII
Draft Rules:
All of the baseball and softball teams that are affiliated with the Weston Sports
Association Inc. will be chosen in a draft like fashion.
1. Each team will have one (1) Manager and as many coaches as the team and
the managers feel necessary.
Definition of a manager - one, who heads the team, has final say on all
decisions made, and whose name is on the roster.

Definition of a coach – Is any person or persons that the manager has selected
to help instruct on the bases, pitching, or help in the dugout.
2. Rosters will consist of thirteen (13) players or less if possible.
3. Selections of team will not being until the Board of Directors is present .
Times and dates will be decided and set by the Board of Directors of the
Weston Sports Association, Inc.
4. There will be at least two (2) dates set by the Board of directors for signing up
players. The dates will be two (2) consecutive Saturday. Posted at a later date.
5. Any player signing up after the teams are picked will go to the team with the
next pick. The Board of directors will record the picking of the teams to insure
the order is maintain.
6. It is in each parents and players interest to make every effort to sign up on the
dates posted. This will help to possibly keep all rosters from exceeding
thirteen (13) players and all players will get in more playing time at each
game.
7. If Mid-continent chooses to have an Educational League the draft will start
with those players. There will be a T-ball, Ponies, Colts, Fillies, Mustangs, A
Girls, A Boys, AA Girls, AA Boys, AAA Girls, and ending the AAA Boys.
8. After the draft is completed all players will remain on the team that drafted
them. There will be no switching or trading of any kind, unless approved by
the Board. All players who are swapped without the Board approval will be
considered illegal. Teams with illegal players will forfeit all games the illegal
player participated in.
9. There will be no refunds for any reason unless brought before the Board.
10. We the Board of Directors of the Weston Sports Association Inc. encourage
the participation and ideas from each member of the Association. The more
participation and ideas from everyone will help make this Association much
better for all players. Remember the time the Board, Managers, Coaches, and
League Representatives spend is donated.

Article XIV
Rules:
The rules of the Weston Sports Association Inc. shall govern play and conduct of
players and team officials in all league games. These Rules are in accordance
with the purpose and aim of the Weston Sports Association Inc., and have as their
basis development and teaching of the elements of good sportsmanship and fair
play. The Board shall be the interpreter of the rules. The Board of Directors
shall do amendments or changes of the rules at regular or special meetings with
benefit of the majority in mind.
The by-laws may be amended when necessary by a two-thirds (2/3) majority of
the Board of Directors. Proposed amendments must be submitted to the Board
Secretary to be sent out to each Board member and released to the community
during regular or special meetings.
These By-Laws were approved at a meeting of the Board of Directors of the
Weston Sports Association Inc. on March 12, 2011.
