Board Position Descriptions

  •  Duties of Officers

    President

    • Shall supervise all activities of TSC and the work of the Board of Directors.
    • Shall preside at all meetings of TSC.
    • Shall appoint Directors and committee chairs, subject to approval by a majority vote of the Board of Directors.
    • Shall designate in writing other officers, if necessary, to have power to make and execute for, and in the name of, TSC, such contracts and leases that may have received prior approval of the Board.
    • Shall work with the Board of Directors on policy and regulation matters.
    • Shall work with the league treasurer to prepare an annual budget to be submitted to the Board of Directors and shall be responsible for the proper execution thereof.
    • Shall work closely with the Board of Directors to ensure the mission statement of TSC is achieved.
    • Shall be the general representative of the TSC.
    • Shall maintain professional relationships with the other league presidents.
    • Shall work jointly with the Vice President and be responsible for practice and/or game schedules, coaching clinics, player development clinics, annual coaches’ meetings, and coordinating referees for home games.
    • Shall work closely with the Vice President and jointly supervise the Director of Club Quality and Tournaments and both Groundskeeper and Equipment Manager positions to ensure the club mission.

    Vice President

    • Shall assume the responsibilities of President in the event of the absence or resignation of the President.
    • Shall, at the request of the President, take responsibility for the organization and execution of club activities as deemed necessary by the President.
    • Shall work jointly with the President and be responsible for practice and/or game schedules, including coordination with other local clubs as needed.
    • Shall work jointly with the President and be responsible for coaching clinics, player development clinics, and annual coaches meetings for league coaches.
    • Shall work jointly with the President to supervise the Director of Club Quality and Tournaments, who will control and organize all TSC-hosted or attended tournaments, among their other duties.
    • Shall be responsible for purchasing jerseys and socks for registered players and coaching personnel.
    • Shall work jointly with the President and be responsible for coordinating referees for home games.
    • Shall write RFPs for jerseys/socks, lawn maintenance, and portable potties; coordinate annual items with each, subject to Board approval of vendor selection and contract terms.
    • Shall work closely with the President and supervise both Groundskeeper and Equipment Manager positions to ensure the mission of TSC.

     

    Treasurer

    • Shall have the charge of the finances of TSC in keeping with the ledger within its QuickBooks database.
    • Shall complete all cash account reconciliations and provide analysis on where TSC should keep its savings and CD’s.
    • Shall receive all monies and securities and deposit such funds in a depository bank approved by the Board of Directors.
    • Shall keep records for the receipt and disbursement of all monies and securities of TSC.
    • Shall approve all payments from allotted funds and will be required to sign all checks drawn on club accounts.
    • Shall prepare a monthly Treasurer’s report to be reviewed and approved by the Board of Directors.
    • Shall file an annual tax return, renew the Small Game of Chance license yearly, and renew the sales tax exemption when needed for TSC.
    • Shall prepare an annual budget, in collaboration with the President, for submission to the Board of Directors for review and approval by February.
    • Shall monitor and maintain player registration and its database to ensure accurate collection of records of all registration fees, fundraiser buyouts, concession stand donations, and refunds.
    • Shall oversee the obtainment of team, field, bench, fence, and league sponsors each season.
    • Shall oversee the sale of spiritwear with the Director of Concessions.
    • Shall work closely with the Director of Fundraising & Activities, Director of Volunteering, and Director of Concessions to ensure the club's mission is achieved.

    Secretary

    • Shall create and maintain an accurate database that reflects club registrants, team rosters, coaches’ qualifications and trainings, and league volunteer background checks and work with the registrar as needed.
    • Shall prepare an agenda for all board and steering meetings at least 24 hours in advance of said meetings.
    • Shall record the minutes of all regular monthly board meetings and monthly steering meetings and shall maintain the official copy of the same. In his/her absence, the presiding officer shall appoint a replacement.
    • Shall read and/or distribute the monthly meeting minutes at each monthly meeting.
    • Shall share the steering meeting notes/minutes with the Board of Directors and maintain the office copy.
    • Shall ensure all vendors, facilities, and the township have a copy of the Club’s insurance certificate. Shall write RFPs for club photography and coordinate picture day with the vendor.
    • Shall work closely with the Director of Technology & Communications to ensure the club mission is achieved.
    • Shall respond to all board correspondence.
    • Shall provide notice of meetings as required by these by-laws and maintain the Club’s official records, including adopted policies, resolutions, and governing documents.
    • Shall receive monthly compliance and safety reports from the Director of Club Quality and Tournaments and communicate concerns during the Secretary’s report as needed


    Duties of Directors:

    • The Directors, along with the President, Vice-President, Secretary, and Treasurer are the governing body of the soccer club.  

    • Directors will be appointed by the officers of TSC for the purpose of handling specific operations of the soccer club (ie-fundraising, sponsorship, concessions)

    • All Directors should be certified to coach and be prepared to coach a team in the event of a coaches’ absence or resignation.

    • No appointed Director shall hold more than one (1) office of the club at any one time.

    • At no time should a Director sit on the Board of, or coach with, any other soccer club while in office.  

    Director of Club Quality and Tournaments

    • Shall be supervised jointly by the President, Vice President, and Secretary.
    • Shall control and organize all TSC-hosted tournaments and all tournaments attended by TSC teams, at the direction of the President and Vice President.
    • Shall attend every BMYSL board meeting (as required by BMYSL) and the annual EPYSA meeting.
    • Shall help the Secretary where needed to ensure compliance of all coaches, Board Members, team managers, and other Club staff/volunteers with applicable federal requirements and EPYSA policies, including coach training and youth protection and safety.
    • Shall ensure the proper setup and breakdown of TSC-sanctioned tournaments (hosted or not), events, and board meetings as appropriate.
    • Shall serve as the Club’s EPYSA Safety Officer and promote safe practices and games, including monitoring and coordinating guidance on weather conditions, field conditions, and player equipment standards.
    • Shall write RFPs for end-of-season gifts and tournament medals and trophies, subject to Board approval, and shall be responsible for plaques on seasonal trophies.
    • Shall send monthly reports directly to the Secretary and work closely with the Secretary on related duties; and shall communicate concerns during the Secretary’s report as needed.

     

    Director of Fundraising

    • Shall be in charge of improving the welfare of the club by coordinating yearly and seasonal fundraisers and social events.
    • Duties include but are not limited to creating a fundraising plan, recommending price points, and showing profit opportunities.  
    • Will create a yearly fundraising plan with the Director of Concessions and the Treasurer.
    • In charge of coordinating TSC’s lottery ticket fundraiser and maintaining a database of records to track the winners while working with the Treasurer to ensure timely deposit of receipts and payment of winnings.
    • Responsible for coordinating events with, but not limited to, the LV Iron Pigs, Bethlehem Steel, Lehigh Valley Phantom, and/or the Philadelphia Union or similar activities. 
    • Send reports of activity directly to the Treasurer and communicate all concerns during the Treasurer’s report.
    • May appoint up to two committee members.  The committee will consist of these members, with the Director presiding, and the Treasurer overseeing the committee’s governance, adhering to TSC’s mission statement and By-Laws.

     

    Director of Concessions

    • Shall be in charge of improving the welfare of the club by maintaining a concession stand for the spring and fall seasons at all sites, coordinating the fall festival stand, if participating, and any other items to help the club raise money.
    • Duties include but are not limited to creating a fundraising plan, recommending price points, and showing profit opportunities.  
    • Will create a yearly fundraising plan with the Director of Fundraising/Activities and the club Treasurer.
    • Will coordinate and schedule concessions for the spring and fall seasons, as well as the festival, when participating, and keep the proper money and supplies stocked in the concession stands for both seasons and arrange volunteers to support the necessary tasks by using Sign-Up Genius or other means.
    • Keep and maintain a database of concession and spiritwear inventory of what has been bought and sold, and provide a monthly report to the board of directors.
    • Responsible for stocking and decommissioning the concession stands for use at the beginning and end of each season.
    • Send reports of activity as needed directly to the Treasurer and communicate all concerns during the Treasurer’s report.
    • May appoint up to three committee members.  The committee will consist of these members, with the Director presiding and the Treasurer overseeing the committee’s governance, in accordance with TSC’s mission statement and By-Laws.  


    Director of Technology & Communications

    • Shall be the central line of communication between the club’s technology and the public.  
    • In charge of creating and uploading registrations into the website, maintaining the security of its technology, finding ways to simplify its use and design, presenting Facebook statistics as needed, and updating the information on both sites regularly.  
    • Shall keep the website and TSC calendar up to date with relevant information, such as but not limited to monthly TSC board meeting minutes, Treasurer reports, dates for upcoming board meetings, soccer season start and finish dates, sponsors, Board of Directors, and bylaws and policies.
    • Shall keep TSC’s Google Drive (electronic filing system) organized and up to date by maintaining security and permissions for the users, and will ensure that each director has a working, valid club email address.
    • In charge of sending electronic correspondence to the TSC families and coaches as needed through the website, Facebook, or other means available to TSC.
    • Shall be responsible for creating banners, signs, and other sponsor-purchased items.  
    • Send reports of activity directly to the Secretary and communicate all concerns during the Vice-President’s report.
    • May appoint up to one committee member.  The committee will consist of this member, with this Director presiding, and the Vice-President to oversee the committee’s governance, which abides by TSC’s mission statement and By-Laws.

     

    Director of Equipment Grounds (CJ & BV)

    • These two separate director positions are in charge of all TSC fields, structures, and equipment at both playing locations, Country Junction (CJ) and Beltzville State Park (BV).
    • Duties include determining ways to manage and set up the fields, including net maintenance, line painting, and grass cutting. 
    • Shall determine the quality of the equipment and estimate a budget for what needs replacing, updating, or repairing. Will make recommendations on the brand of equipment.
    • Will coordinate with the TSC on when to begin field setup and break down, and is also responsible for providing, tracking, and reporting on the timely return of equipment and league property from coaches.
    • Will write RFPs and make recommendations on grass cutting business, relief facilities, line paint, goals, nets, and player equipment, subject to Board approval.
    • Will attend the monthly township recreation board meeting.
    • Sends reports of activity directly to the Vice-President and communicates all concerns during the Vice President’s report.
    • May appoint two committee members. The committee will consist of these members, with the Director presiding and the Vice-President overseeing the committee’s governance, which adheres to TSC’s mission statement and By-Laws.

      Director of Registration & Volunteering (Registrar)

    • Manages the club’s databases (Sports Connect and GotSport) as it relates to the seasonal player registration process, as well as maintaining the volunteering records. This role ensures that sign-ups are accurate, deadlines are met, players are placed on the appropriate teams, and families have completed their required volunteer time.
    • Will be the primary point of contact for registration questions and will work closely with the Treasurer and Secretary to keep player records compliant and up to date.
    • Maintain accurate player records (contact info, birth year/age group, special requests, waivers) and verify eligibility requirements (proof of age, residency if applicable, medical releases, waivers) as well as manage communications to families about registration timelines, required documents, and next steps.
    • Work with the Director of Technology & Communications to set up and manage online registration (forms, fees, discounts, and deadlines) for both soccer seasons, and is responsible for generating a school flyer to be distributed to all necessary area schools.
    • Support team formation by coordinating and providing player lists to the Board of Directors to generate rosters before the team selection date.
    • Submit final required rosters and player data to BMYSL by published BMYSL deadlines and also submit to TSC coaches for each season.
    • Ensure data privacy and secure handling of member information.
    • Provide registration reports to the board (counts by age group, waitlists, trends, issues) monthly as needed.
    • Shall schedule volunteer sign-ups for concession stands, field set-up and break down, and line painting as needed. 
    • Sends reports of activity directly to the secretary and communicates all concerns during the Secretary’s report.
    • May appoint two committee members. The committee will consist of these members with the Director presiding and the Secretary to oversee the committee’s governance, which adheres to TSC’s mission statement and By-Laws.
