Coach Selection Policy

Background:

The purpose for this document is to permit the board of directors to adequately evaluate and select coaches in a fair manner.In order to support the Towamensing Soccer Club (TSC) mission statement, it is necessary to provide a format that allows coach selection to provide children with the coach that would be the best fit for any division.

Scope:

This policy will cover coach selection for each season and will follow in accordance of the pre-established rules already established under TSC By-Law.

Policy:

This policy will be broken down in the following way:

-Summary of the coach selection process

-Specific rules regarding coach selection

-Coach selection criteria.

Each area will defined under the process section of this policy.

Process:

Summary of the coach selection process

The coach selection process must follow the specific statement below as read under Head Coach Section of the By-Law.

Head Coaches

Head coaches are appointed seasonally by the President, with the approval of the Board and shall be responsible for the selection of their team and for their actions on the field.

Any new head coach with TSC will be required to attend a coaching clinic and earn a certificate prior to the conclusion of their initial coaching season.

All head coaches are required to attend the Board of Directors meeting in both June and July so they may receive specific rules of play, player selection lists, and practice schedules.If a head coach cannot attend, they must send a representative from their team.

If the head coach and/or his representative cannot attend the afore mentioned meetings, the Board of Directors must be notified, in writing, at least seven (7) days prior to scheduled meeting.Failure to do so may jeopardize your right to coach during the coming season.

Procedure:

1)Once registration is reaching its registration deadline, the TSC league President will evaluate the number of registrations by division in order to select coaches.

2)The TSC League President will then base the number of coaches by the number of players on the field and no less than have that number for the bench.

3)The TSC League President will then evaluate each of the individuals who are seeking a head coach position and evaluate under a set criteria (Further explained in the Coach Selection Criteria section).

4)Once complete, the TSC League President selects based upon the criteria and selects based upon coach scoring and then appoints one head coach equal to the number of teams per division.

5)Once appointments are made, the TSC League President then presents the Coaches to the Board of Directors to approve selection.

6)Approval is by majority vote and includes directors.

a.If approved, the TSC president will email the head coaches to prepare them for the coming year with a schedule of events to come.

b.If denied, the entire selection will be considered denied and the TSC League President will need to begin back at step 3 until an agreement with the Board of Directors is achieved.

7)Formal induction of coaches will be by motion at the next upcoming board meeting.

Specific rules regarding coach selection

The following rules are to ensure all gray areas for this policy are outlined:

1)Coach selection is solely on selected criteria; no other criteria will be considered when appointing or approving Head Coaches.

2)Coach selection can be done a week before original registration deadline but not before and may continue to add additional head coaches after approval up until the day before player draft.Any additional coaches will need to go through the same appointment and approval process.

3)Approving coaches prior to board meeting is permissible but will need a motion to put them in as the official head coaches.Contact information will not appear on the website until then.

4)This is a procedural motion and will not have an open floor discussion due to attached by-law.If the membership would like to discuss any coach, they will need to put a motion onto the floor as an incidental motion.

5)The TSC League president will contact denied head coaches and make recommendations. The TSC League President will not provide an explanation on the decision. The Board of Directors may share the criteria on how coaches are chosen.

6)The Board of Directors reserve the right to revoke coaching privileges at any time if the need to do so arises.This can only be done by majority vote and does not need to be a board sponsored motion, however it would have to be under the following caveats:

a.Selected Head Coach is physically unable to fulfil their coaching duties

b.Violated the discipline policy, which is a league-terminating offense.

c.Selected Head Coach wishes to relinquish their duty.

d.Has not met their obligation to their children by holding practices or attending games.

7)A head coach does not need to have a child on the team to coach; as long as they make the necessary background checks, they may coach.

Coach Selection Criteria

Coach evaluation are under a specific set of criteria:

1)Individual is an active member of the club (Board Member, Director, Committee Person)

2)Coach will willingly referee games or has done so last season.

3)Coach is a new coach

4)Coach wishes to coach U6

5)Coach is a veteran (Points based on number of years coaching with TSC)

6)Coach has provided all necessary documentation to satisfy club quality last year/this year before start of games (point for each):

a.Risk Management

b.Head Concussion

c.Background Checks

7)Coach attended training last season (NOT last year)

8)Coach has obtained voting membership status in the last year

9)Coach is liked (# of preference) – (+1 for every two preferences after the first, not including kin)

10)Coach is disliked (# of unpair) – (-1 for every two unpair after the first, not including kin)

11) Coach was not disciplined or in aranea culpābilis (Found Culpable)

12)Coach went beyond their duties (Coached tournaments outside of TSC/CCC, etc.)

13)Selected as Coach of the Season (NEW)

Score is sorted and then ordered by each coach for that division; individuals with the highest scores are selected first, until there are no more teams left.Any other head coaches left will go on the waiting list.If more coaches are necessary, the next highest score is eligible for selection, this process occurs until there are no coaches left.

Roles and Responsibilities:

President – Evaluates and appoints coaches based upon criteria

Board of Directors – Responsible for approving Presidential appointments

Head Coach – Individual responsible for teaching, running and being a role model for TSC soccer teams, its members, parents and community.

Membership – Public body of TSC

Voting Membership – Public body of TSC who has attended more than three board meetings within a twelve-month period (rolling not calendar).
